Who we are

What data we collect and why

Tradespeople (account holders):

• Name, business name, email address, phone number and location — to create and manage your account
• Trade, credentials and accreditations — to personalise your quote documents
• Logo and job photos — to include in your professional documents
• Voice recordings and typed job descriptions — processed to generate quote content, not stored after processing
• Billing information — handled entirely by Stripe; we never see or store your card details
• Quote history and job data — stored to power your dashboard and account features

Customers receiving quotes:

• Name, address, email and phone number — provided by the tradesperson and used solely to generate and deliver the quote document
• Quote responses (acceptance, decline reason, questions) — logged to update the tradesperson's account

How we use your data

We use your data to provide the Standout Tradesman service, process payments, send transactional emails, and improve the product. We do not sell your data to third parties. We do not use your data for advertising.

Data sharing

We share data with the following service providers only to the extent necessary to operate the service: Supabase (database and authentication), Anthropic (AI document generation — job descriptions are processed but not retained for training), Stripe (payments), Resend (transactional email). All providers are contractually bound to handle data appropriately.

AI processing

Job descriptions you provide are sent to Anthropic's Claude API to generate quote documents. Anthropic does not use this data to train their models under our API agreement.

Data retention

Your account data is retained for as long as your account is active. If you close your account, your data will be deleted within 30 days. Quote documents containing customer details are retained for 12 months then deleted unless you request earlier deletion.

Your rights

Under UK GDPR you have the right to access, correct or delete your personal data, object to processing, and request data portability. To exercise any of these rights, contact [email protected]. You also have the right to complain to the ICO (ico.org.uk).

Cookies

We use session cookies to keep you logged in. We do not use advertising or tracking cookies.

Changes

We will notify account holders by email of any material changes to this policy.
